Sales Administrator

About the Role

As a Sales Administrator, you will play a key role in our Sales Team, managing day-to-day administration, including customer order communications, enquiry handling, order processing, invoicing, and CRM updates for accurate forecasting and reporting to cross-functional and senior leadership teams.

For the right candidate, this role offers a clear pathway to grow into an Account Manager position, with support to take on strategic account coordination and business development responsibilities.

Reporting to our experienced VP of Business Development & Sales, you will be in a full-time role with flexible working hours based at our office in Bentley.

Your day-to-day will revolve around the following:

Sales Administration (30%)

  • Respond and action customer requests in person and via email/phone
  • Distribute, file, and maintain emails within shared mailboxes
  • Accept customer orders, process, and track status in relevant systems, ensuring customer is kept up to date
  • Respond to quotation requests, enter, and track in relevant systems
  • Invoice customer orders, distribute invoices and track in relevant systems
  • Monitor and maintain customer account health
  • Ensure all interactions with customers are performed within agreed SLAs

 

CRM (20%)

  • Maintain contact, account and general CRM and related systems data accuracy
  • Process opportunities following Motium procedures
  • Maintain relevant systems with product price changes and obsolescence
  • Maintain tracking of customer communications
  • Work with marketing to provide data for successful, targeted campaigns

 

General Administration (15%)

  • Answer and direct phone enquiries
  • Provide customer facing support for order taking and invoicing to cross-functional teams
  • Identify process improvements and coordinate implementation with relevant stakeholders
  • Document process changes within relevant systems

 

Account Management Support (15%)

  • Assist with client meeting file notes, summarise and track actionable outcomes in relevant systems and with relevant stakeholders
  • Schedule regular account check ins

 

Reporting and Dashboards (10%)

  • Manage and prepare weekly BAU data to share with cross-functional teams
  • Prepare and refine regular monthly sales dashboards and reports with key Sales and Market information for presentation to the management team
  • Respond to internal reporting requests
  • Identify opportunities for improvement

 

Customer Onboarding (5%)

  • Work with the Account/Business Development Manager during the onboarding process to facilitate:
    • Account creation
    • Signing off all required documents
    • Introduction to key team members and channels of communication
    • White labelling and product feature improvement
    • Follow up after initial introduction for process feedback

 

Market Insights (5%)

  • Research and quantify market segments
  • Seeking market trend insights internally
  • Report on trends and opportunities to Sales and Management team

 

About You

Here are some of the things we think will make you likely to succeed in this role:

  • Bachelor of Business/Commerce, or related field (Desirable)
  • Proficiency in Salesforce CRM (Desirable)
  • Minimum 2 years in a Sales Support or Account Management role
  • Technologically confident, with an understanding of computers and a comfort level working around hardware and software, especially in a tech or manufacturing environment
  • Eager to learn and grow in a fast-paced environment
  • Using a CRM on a day-to-day basis
  • Proficiency in Microsoft Office, specifically Outlook, Word, Excel, and Teams
  • Strong time management and organisation skills
  • Attention to detail and ability to meet deadlines
  • Strong written and verbal communication skills
  • Good customer service skills
  • Team player with initiative and a process improvement mindset
  • Strong problem-solving skills
